Overview
A user’s access decides what they can see, do, and configure in SalesScreen. You change it on the user’s profile, in one of two places:
Admin access: Use this to give a user an admin role, such as Company, Screen, or Target, and to limit module-specific admin roles to selected teams.
Manager access: Use this to make a user a Manager, and to choose which departments or teams they manage, or the whole company.
If you are unsure which access a user should have, read Description of different user accesses first.
Before you start
Role: Company Administrator, Account Owner, Executive Administrator, or User Administrator
Plan: All plans
User Administrators can change admin roles and manager access, but cannot give Account Owner or Company access.
Steps
Give a user an admin role
In the left-hand menu, click Manage, then under Company, click Users.
Click the user’s name. The Edit Profile page opens.
Click the Admin access tab.
Select the role or roles the user should have.
If you selected a module-specific role, use Limit access to selected teams to choose which teams the role applies to. Select All to give access to all teams.
Click Save changes.
Ask the user to log out and log back in.
Make a user a Manager
In the left-hand menu, click Manage, then under Company, click Users.
Click the user’s name. The Edit Profile page opens.
Click the Manager access tab.
Choose what the user manages:
To give access to all departments and teams in the company, turn on Company Manager. The change is saved automatically.
To choose departments, click Edit next to Departments, select the departments, and click Save.
To choose teams, click Edit next to Teams, select the teams, and click Save.
Ask the user to log out and log back in.
Admin roles on the Admin access tab
On the Admin access tab, roles are shown with short names:
Account Owner: Same access as Company, and can also manage subscriptions and purchase licenses.
Company: Access to everything in the company.
User: Create and edit users in the selected teams.
Statistics: Access to all data and reports.
Screen: Manage screens, playlists, and slides.
Target: Create and edit targets.
Competition: Create and edit competitions.
Achievement: Create and edit achievements.
Coaching: Create coaching sessions.
Reward: Manage rewards, coins, and reward requests.
Account Owner is the highest level. When you select it, all other access levels are turned on. When you select Company, all module-specific roles are turned on.
Extra permissions for Managers are set in company settings
Three Manager permissions are not set on the user profile. A Company Administrator turns them on for all Managers in Manage → Settings → Privacy, on the Users, Admins & Managers tab:
Manager can manage dashboards
Manager can manage screen content
Manager can approve rewards
Other settings on the user profile
The Edit Profile page also has these tabs:
Celebrations: Celebration videos and how the user appears when they are celebrated.
Privacy: Settings for this user only, for example Hide From Feed, Hide From Screen, whether battles are enabled, and email subscriptions.
Security: Change Password, Generate invite link for a user who has not logged in yet, and Log in as user.
Notifications: Which push notifications the user gets on their phone and in the web app, for example Feed messages, Achievements, Battles, and Competitions. Click Save changes after making changes.
What happens next
The new access is saved when you click Save changes or Save, or when you turn on Company Manager.
To make sure the new access applies right away, ask the user to log out and log back in.
A user with a module-specific admin role can only manage the teams selected in Limit access to selected teams.
A Manager can only manage the users in the departments or teams they are assigned, unless they are a Company Manager.
What if this doesn’t work?
I don’t see Manage or Users
Changing user access requires Company Administrator, Account Owner, Executive Administrator, or User Administrator access. Ask a Company Administrator to update the user or your access.
I see the user’s profile, but not the Admin access tab
You opened the user’s player profile. Clicking a user’s name elsewhere in SalesScreen opens the player profile. To open Edit Profile, go to Manage → Users and click the user’s name there.
I can’t select Account Owner or Company
User Administrators cannot give Account Owner or Company access. Ask a Company Administrator or the Account Owner to make the change.
I can’t change the Account Owner
[Verify: who can change the Account Owner, and whether Support has to be involved. If this cannot be confirmed, remove the section.]
The user still can’t do what they should be able to do
Check these in order:
Ask the user to log out and log back in.
On the Admin access tab, check that the correct role is selected and that Limit access to selected teams includes the right teams.
On the Manager access tab, check that the correct departments or teams are assigned.
If a Manager cannot manage dashboards, screen content, or rewards, check the Manager permissions in Manage → Settings → Privacy.
