Why this comes up
Customers often ask how to "delete a user" when someone leaves. In practice, SalesScreen uses deactivation rather than deletion, so that past results stay intact. This section helps you decide the right action and understand the consequences.
What happens to the data
When you deactivate a user, their historical data is preserved. Past activity, sales and points remain in reports, dashboards, leaderboards, competitions and targets, so previous totals stay accurate. The user can no longer log in after deactivation.
Does it free up a license?
Deactivating frees up the seat so it can be reused, depending on your subscription. If you need more seats overall, you may need to add more licenses. If you are unsure how your plan handles seats, confirm with SalesScreen Support before offboarding a group.
Reactivating later
If the person returns, or you deactivated the wrong user, you can reactivate them later. Their historical data is still attached, so reactivation restores both access and continuity.
If the user is controlled by Azure, CRM or API
If the user is managed by an integration, deactivating them only in SalesScreen may not be enough — the source can re-import or re-enable them on the next sync. In that case, remove or disable the user in the source system or sync group as well.

Deactivate the user in SalesScreen (do not delete)
Confirm whether the license should be reused or removed
If the user is synced, remove or disable them in the source system or sync group
Verify the user can no longer log in
Confirm historical results still appear correctly in reports and competitions
What if this doesn't work?
The deactivated user keeps reappearing. They are likely being re-imported by an integration. See "Why does a deactivated user keep coming back?".
You need to keep results but reuse the seat. Deactivation is the correct choice — it preserves history while freeing the seat.
