How do I manage messages and see who has read them?

Use Manage messages to find, edit, copy, feature and archive Message Board messages, and see who has read each one.

Written by Marius Ekerholt

🙋 This article is for: Company Admins and Managers who publish messages on the Message Board.

⭐ Available on: all plans.

Open Manage messages

  1. Go to Home and open the Message Board tab.

  2. Click Manage messages.

The list shows each message with its status (Draft, Live or Archived), category, who created it and how many people have opened it, for example 12 / 20 opened.

  • Use search, Filters (category, tags and status) and Created by me to find a message.

  • Click a draft to keep editing it. Click any other message to open it.

Company Admins can manage every message. Managers can edit and archive the messages they created.

Edit a message

  1. Open the menu on the message and click Edit.

  2. Make your changes and click Save changes.

Changes show right away. People are not notified again when you edit a message.

Copy a message

Copy is useful when you want to reuse a message or send it to a new group.

  1. Open the menu on the message and click Copy.

  2. A new message opens with the same content and audience. The title ends with "(Copy)".

  3. Change what you need and click Publish.

The copy is a new message, so its audience is notified when you publish it. A copy is never featured.

Feature a message

Open the menu on the message and click Feature. Featured messages show first on the Message Board, ahead of newer messages, with a Featured tag. Click Remove from featured to put it back in date order.

Archive or unarchive a message

  • Open the menu on the message and click Archive. The message is hidden from everyone in the audience, including people who have already read it.

  • To bring it back, filter Manage messages on the Archived status and unarchive it.

Messages cannot be deleted. Archive messages you no longer need.

See who has read a message

  1. Open the message.

  2. Go to the Analytics tab.

You see everyone in the audience, with how many times they opened the message, when they last opened it, and whether they have read it. People who have read it come first.

  • Search by name or team.

  • Filter on Read or Unread to see who still needs to read it.

Only people who are in the audience today are counted. People who have left the team or been deactivated are not included.

What if this doesn't work?

I can't edit or archive a message: managers can only edit and archive messages they created. Ask a Company Admin to make the change.

The read numbers look different from what I expected: the numbers only include people in the audience today. If you previewed the message and you are in its audience, your own open also counts as a read.

Someone clicks an old notification and the message isn't there: the message has been archived. Unarchive it if it should still be visible.
