When should I reach for Scout?
Scout is a chat, so it can do many things, and it isn't always clear when to use it. A simple rule: open Scout when you catch yourself doing one of these by hand.
Digging through SalesScreen for numbers before a conversation or meeting.
Working out who needs attention, or which competition worked.
Setting up several competitions, missions or battles one after another.
Writing a recap, a post or an endorsement from scratch.
Each moment below has a trigger, what to ask and what you get. Replace the names, teams and metrics with your own.
Before a 1:1 or a team meeting
Trigger: you have a conversation in ten minutes and haven't looked at the numbers.
When was [name]'s best week this quarter?
How has [name] done over the last three months compared with the team?
Add talking points for my 1:1 with [name]. (on a report page, see below)
Open Scout from the person's profile, so Scout already knows who you mean.
At the start of the week or month
Trigger: a new period starts and you want to know where you stand.
Who is leading my team this month?
Who on my team needs attention this week, and what should I do about it?
Which metrics changed the most this month?
Plan this month's gamification with Scout
Trigger: a new month is about to start and you need a plan for competitions, missions and battles. Scout can analyse last month and then help you set the plan up.
Look back. Ask: Look at last month's results for my team. What worked, what didn't, and where did we lose momentum?
Ask for a plan. Ask: Suggest a gamification plan for this month based on that. Use a team competition, two missions for the reps who are behind target and a mission for our newest reps. Keep it to three items.
Adjust it. Reply in the same chat: Make the competition run for two weeks and use [metric]. Scout can also suggest goals from earlier results, or split people into balanced custom teams.
Set it up one at a time. Ask: Set up the first competition from the plan. Scout shows a preview card. Click Approve, then ask for the next item.
Publish. Competitions are saved as drafts. Review and publish them in SalesScreen when you are ready.
Scout creates one item at a time and nothing before you approve it. To keep the plan, ask Scout to build it as a report page and export it as PDF (see the next section).
Build a report page you can shape
Trigger: you need something to bring to a meeting, or to send to your leader.
Ask a question about results, for example How did the Oslo team do last month?
Click Make a report, Make a competition overview or Make a recap, or ask: Build a one-page report on the Oslo team for last month.
Shape it by asking. Add things: Add a leaderboard for this month. Remove things: Remove the comparison. Change things: Change the title to "Q4 kick-off".
Click Export PDF.
Every change is saved as a new version, so you can go back. A page shows the numbers as they were when it was made.
After a competition ends
Trigger: a competition just finished and you decide what to do next.
Which of last quarter's competitions actually moved the numbers?
Set up a new one like the best one for next month.
When someone deserves recognition
Trigger: a rep closes a big deal or has a great week, and you want to say so while it is fresh.
Send [name] an endorsement with 50 coins for closing the [customer] deal.
In the post box, click Draft with Scout for a draft of a weekly summary or yesterday's highlight.
In the endorsement box, click Draft based on performance and edit the draft in your own words.
Always read and personalise a draft before you send it.
When someone is new or has gone quiet
Trigger: a new rep starts, or someone's numbers drop.
Set up a ramp mission for [name] with a target for calls and meetings in the first month.
Start a battle between [name] and [name] on [metric] for one week.
Tips for good answers
Be specific: name the metric, the team or person, and the period. How are we doing? gives a weaker answer than Which team had the most meetings last month?
Use the names you see in SalesScreen: type @ to pick a person, team, department or metric.
Ask one thing at a time: Scout creates one item per request.
Check the numbers before you share them with leadership or the whole team.
When not to use Scout
To edit or delete an existing competition, battle or mission, or to publish a competition: do it in SalesScreen.
To log activities, manage users, roles or settings: do it in SalesScreen.
For a task that repeats every week, or that needs data from another tool: use the SalesScreen MCP in Claude or ChatGPT. See the related articles.
What if this doesn't work?
The answer is too general. Add the metric, the team or person and the period, and try again.
Scout didn't create what I asked for. Click Approve on the card before you send another message. An open card expires when you write again. Also check that the module is on for your company, such as Competitions or Battles.
My plan has several items and only one was created. Scout creates one item at a time. Approve the card, then ask for the next item.
I can't see Scout. Scout is for Managers, Company Admins and Account Owners. A Company Admin can switch it off for the company.
