What is a Pending user, and how do I activate one?

A pending user has been added to SalesScreen but can't log in yet. Learn why users end up pending, how to find and activate them, and what happens to their data.

A pending user has been added to SalesScreen but cannot log in yet — typically because there are no available licenses on the account.

Why is a user pending?

A user ends up in the Pending state when they are added to SalesScreen — manually, via the API, or through a CRM integration — but there are no available licenses to activate them. Once an Account Owner has added more licenses to the subscription, the user can be activated.

What can a pending user do?

A pending user cannot log in to SalesScreen. If they try, they'll see a message asking them to contact an administrator.

Data will still sync for pending users the same way as for active users — they appear on leaderboards and in KPIs, residing in a dedicated pending team until activated.

Time limit: If a pending user is not activated within 2 weeks, they are automatically deactivated.

How do I find and activate pending users?

  1. Go to Manage → Users and click the Pending tab.

  2. You'll see a list of all users currently in the pending state.

  3. Select the user(s) you want to activate.

  4. Choose the team they should belong to in the activation form and confirm.

When activated, the user's historical data is transferred from the pending team to the team you selected.

Who can activate pending users?

You need Account Owner, Company Admin, or User Admin access privileges to activate pending users.

Company Admins without team access limitations also receive a daily email listing all pending users as a reminder.

Will I be billed for pending users?

No — you are only billed for licenses you have purchased. Pending users do not count toward your active license usage.

What if this doesn't work?

The Pending tab isn't visible: You need Account Owner, Company Admin, or User Admin access. Check your role under Settings → Users & Roles.

The user was automatically deactivated: If 2 weeks passed without activation, the user is deactivated. Re-add them once you have available licenses.

User still shows as pending after adding licenses: Try refreshing the page and activating again. If it persists, contact support via the chat icon.
