Step 1: Create a Zapier Account

If you don’t already have a Zapier account:

  1. Click Sign Up to create an account, or log in if you already have one.

Step 2: Set Up a Trigger in Zapier

To integrate SalesScreen, you first need an app with a Trigger Event to initiate your workflow.

  1. Go to the Zapier Dashboard and click + Create Zap.

  2. Search for the app you want to use as the trigger (e.g., Google Forms, Gmail, or Slack).

  3. Select the app and choose a Trigger Event (e.g., "New Form Response," "New Email," or "New Message Posted").

  4. Follow the prompts to connect the app and test the trigger.

Once the trigger is set up, you’re ready to link SalesScreen as the Action app.

Step 3: Connect to SalesScreen

To configure SalesScreen as the Action app:

  1. Get Your Account Key:

    • Go to Manage → Settings → API Keys in SalesScreen --> Select your account key (NOT API key)

    • in zapier select connect account and input your account key.

2. Configure the Zap:
Add the following details to your Zap setup:

  • External Record ID: A unique ID for the record. If not unique, the record will be overwritten when something updates.

  • External User ID: A unique user identifier. We recommend using the user’s email for easy management, but any unique ID will work. Map external users in SalesScreen here.

  • Activity Type:

    • Ensure the activity type exists in SalesScreen.

    • If not, create one under Manage → Activity Types.

    • After creation, click Refresh Results in Zapier and select your new activity type.

Activity Name:

  • Choose from existing activities under the selected Activity Type in SalesScreen.

  • Alternatively, map it from the integration system by clicking the three dots next to it in Zapier.

  • Text Fields: Optional fields for visualization only.

  • Quantity: Typically set to 1 to track activity count.

  • Value: Up to three numeric fields to handle numerical data.

  • Date: Include a date, such as the created or close date. If unavailable, use {{zap_meta_human_now}} to default to today’s date.

  • App: Map the user in SalesScreen (we recommend using Zapier here).

When you are done it should look something like this:
