What is a Pending user, and how do I activate one?

A Pending user has been added to SalesScreen but cannot log in yet, usually because there are no available licenses. Once more licenses are added, an admin can activate the user from Manage → Users → Pending.

Account Owners, Company Admins, and User Admins can activate Pending users.

Only Account Owners can order more licenses.

Company Admins without team access limitations receive daily email reminders with a list of Pending users.

Prerequisites

Before you activate a Pending user:

  • The user must already have been added to SalesScreen.

  • Your company must have enough available licenses.

  • An Account Owner must add more licenses if no licenses are available.

  • You must have Account Owner, Company Admin, or User Admin access.

  • The user must still be within the 2-week Pending period.


Step-by-step: Activate a Pending user

Step 1 – Open Pending users

  1. Open SalesScreen.

  2. In the bottom-left corner, click Manage.

  3. Click Users.

  4. Click the Pending tab, next to the Active and Disabled tabs.

You will see a list of all users currently in the Pending state.

Step 2 – Select the user

  1. Find the user or users you want to activate.

  2. Select the user(s) from the Pending list.

Step 3 – Choose the user’s team

  1. In the activation form, choose the team each user should belong to after activation.

Step 4 – Confirm activation

  1. Confirm the activation.

The user is now activated and can log in to SalesScreen.

When the user is activated, their historical data is transferred from the Pending users team to the team you selected in the activation form.


Why is a user Pending?

A user becomes Pending when they are added to SalesScreen but there are not enough available licenses to activate them.

This can happen when a user is added:

  • Manually inside SalesScreen

  • Through the API

  • Through a CRM integration

The user can be activated as soon as an Account Owner has added more licenses to the subscription.


What can a Pending user do?

A Pending user cannot use SalesScreen. They cannot log in until an administrator activates them.

If they try to log in, they will see a message telling them to contact an administrator in their account.


What happens to a Pending user’s data?

Data continues to sync for Pending users in the same way as for active users.

Pending users can appear on leaderboards and be included in KPIs. Until they are activated, they belong to a dedicated team for Pending users.

When the user is activated, their historical data is transferred from the Pending users team to the team selected during activation.


How long can a user stay Pending?

A user can stay Pending for 2 weeks.

If the user is not activated within 2 weeks, SalesScreen automatically deactivates them.


Will I be billed for Pending users?

No. Only active users are added to the subscription management system. Pending users do not count toward your active license usage.


Can I unsubscribe from Pending user email reminders?

Yes. You can unsubscribe from these reminders under Profile settings → Privacy.


What if this doesn’t work?

I don’t see the Pending tab

You need Account Owner, Company Admin, or User Admin access to activate Pending users. If you should have access but still cannot see it, ask an admin to check your access privileges.

I can’t activate the user

Check that your company has enough available licenses. If there are no available licenses, an Account Owner must add more before the Pending user can be activated.

I don’t know who can add more licenses

Admins can see who the Account Owners are from the Users page by clicking the Subscription Management button. Admins with access can also see this under settings.

The user was automatically deactivated

If the user stayed Pending for more than 2 weeks, SalesScreen automatically deactivated them. Re-add the user once your company has available licenses.

The user still shows as Pending after more licenses were added

Refresh the page and try activating the user again. If the issue continues, contact support.
